A

Applicant Folder

    The Applicant Folder is all information maintained by OLA related to an individual applicant's materials, which include the nine-digit Applicant ID, OLA password, and the Personal Information, Education/Experience, and Skills Certification Profiles.

Applicant ID

    The Applicant ID is a unique, nine-digit identification number that each applicant must create and use, along with the password, to access OLA. Common examples of easily remembered numbers used to create Applicant IDs are: social security numbers, telephone numbers, street addresses, ZIP codes, and birthdays.

Confidential position

    A position within any designated department that is ineligible for union membership and representation because the position provides confidential support services to administrative officials who formulate or effectuate administrative policies in the field of labor relations.
Cover letter
    A letter of introduction associated with other submission materials. It is a good practice to include this introduction with your resume and application materials.

E

Education/Experience Profile

    This online form is part of an applicant's folder. This form is optional if the applicant submits an online resume. This form may be used to supplement the online resume and contains educational and employment history.

Electronic Signature

    Electronic Signature is an applicant's confirmation and acknowledgment, equivalent to an applicant's handwritten signature, of a statement verifying that all application information and attachments are true and accurate. Any false statement or material omission of convictions or current criminal charges is sufficient reason for rejection of the online application or termination of subsequent employment.

Exempt employee

    Any salaried employee in a classified position, typically a Professional Appointed (PA) position, that has been evaluated and determined to meet one of the tests (Executive, Administrative, or Professional) for exemption from the overtime and record keeping requirements of the Fair Labor Standards Act.

Hourly position

    Hourly employees have either student or non-student status and are defined as those staff employees not occupying a budgeted line position (an appointed position) and are temporary, at will employees.

N

Nonexempt employees

    Any employee that has not been exempted from the overtime and record keeping requirements of the Fair Labor Standards Act, and therefore, must be compensated for all hours worked in excess of forty hours in a calendar week at one and one-half times the employee's regular hourly rate.

    OLA allows us to accept electronic applications submitted for open positions. OLA includes the updated job opportunities and the storage of the Applicant Folder. To create your Applicant Folder please visit OLA!

P

Password

    A three- to eight-character alphanumeric set that each applicant must create and use with the Applicant ID to access OLA to perform tasks such as creating or editing information in the Applicant Folder and applying for specific positions.
Password Retrieval Form
    Contains information typically known only to the applicant that allows applicants to retrieve their OLA password.

Personal Information Profile

    This is the first and mandatory section of OLA in which the applicant provides personal information (name, address, telephone numbers, email address, U.S. work authorization, etc.). This section also contains the Electronic Signature and warning statement.

Professional Staff positions (PA)

    Exempt, nonacademic appointed positions (executive, professional, administrative) that have a PA classification prefix.

R

RTF (Rich Text Format)

    The preferred, standardized way to encode various text formatting properties, such as bold characters and typefaces, as well as document formatting and structures. By saving a document in Rich Text Format, you can open the file in many word processors and other RTF-readable software packages with much of its formatting left intact. Many word processing programs will allow you to save a document in RTF when you select File/ Save As.

Second Listing

    Any additional posting beyond the initial required posting period, i.e., five working days for Support Staff and Service Maintenance positions and ten working days for Professional positions. Positions noted as "second listing" may be filled by hiring an applicant who responded to the first listing. However, departments with second listings normally consider all applicants.

Service Maintenance position

    These are nonexempt appointed positions with an "SM" classification grade prefix. Service Maintenance employees are union-eligible positions represented by AFSCME, Local 832.
Skills Certification Profile
    The third section of OLA that provides information regarding an applicant's ability to perform commonly used personal computer and clerical skill sets for data entry, word processing, spreadsheets, databases, desktop publishing, etc. This section also contains typing and word processing test scores. Completion of the Skills Certification Profile is recommended for all applicants, but it is mandatory for applicants of Support Staff positions.

Support Staff position

    These are nonexempt appointed positions with an "SS" classification grade prefix. Unless the position is designated as a confidential position, Support Staff employees are represented by CWA, Local 4370.
